Schedule availability for a content item

In XM Cloud Explorer, you can easily replace a content item with another version of the same item. When a new version of a content item is created, you must actively Publish the item for the newer version to be available on your website.

There can be many versions for one content item, but only one of these versions can be publishable version at a time. The publishable version is usually the latest version of an item unless a schedule for making this version available or unavailable has been set. For example, you might want a particular version to be published for a limited time period, or only after a certain date. Similarly, you can ensure that an approved version is unavailable for publication before and/or after a certain date for an indefinite period.

For these purposes, you can schedule the availability or unavailability of an item version for specific dates, or even disable publication altogether.

Note

A version item schedule can only be set up for a version to be available or unavailable, but not for both.

Schedule availability to publish an item version

By scheduling the availability of an item to be published, you can easily manage which items can be published and when.

Note

Scheduling the availability of an item to be published does not mean that the item will be automatically published at the set dates. You have to actively click Publish to save the currently publishable version to the Edge and make it therefore available on your website.

To schedule when a version should be available for publication:

  1. Select the item you want to schedule publishing availability for.

  2. On the Versions tab, click Edit for the relevant version.

  3. In the Schedule availability dialog, turn on the Available switch, then set a Start date for the version to be publishable, and/or an End date after which the version will not be available any longer for publication.

  4. Click Save.

This item version is now publishable on the dates set that you have set up in the Schedule availability dialog.

Make a version unavailable for publication

To prevent an approved version from being published, you can make that version unavailable for publication.

Note

Scheduling a version to be unavailable for publication does not mean that the item will be unpublished at the set dates. You have to actively click the button Publish to remove the version from the Edge and potentially replace it with the current publishable version if there is one.

To schedule when a version should be unavailable for publication:

  1. Select the item you want to schedule publishing availability for.

  2. On the Versions tab, click Edit for the relevant version.

  3. In the Schedule availability dialog, turn on the Not available switch. then set a Start date for the version to be unavailable, and/or an End date after which the version will again be publishable.

  4. Click Save.

The version is unavailable for publication immediately or after the date that you specified in the Schedule availability dialog.

Note

When you click Publish on an item for which all versions are set as unavailable, the item is deleted from the Edge.
