Work with form templates

A template is a preconfigured design consisting of a layout, some items, and styling. XM Cloud Forms offers a library of templates that you can use to create your forms.

You can also create your own templates by either using one of your original designs, or modifying an existing template. Your saved templates are available to use for all sites in your environment, and you can choose to share them with other environments in your organization.

Create a form based on a template

Forms lets you select a template as a starting point for creating your own form design, instead of doing it from scratch. You can choose between our ready-made form templates or forms that you've previously saved as a template.

To create a form design based on a template:

  1. On the dashboard, click Create form.

  2. In the Create form dialog, enter a name for your form and click Save.

  3. In the left-hand corner of the form editor, click Load template.

    The template library shows the available form templates. To preview the design of a template, click Preview template.

  4. On the template of your choice, click Use template.

  5. In the form editor, customize your design by editing the layout, editing items, or adjusting the general settings.

  6. When you are finished with your design, save the form.

Save a form design as a template

Any design you are working on in the form editor can be saved as a new template. This allows you to access the saved template and reuse it in future forms.

To save a form design as a template:

  1. In the top-right corner, to the right of the Save and exit button and click > Save as template.

  2. In the Save as template dialog, enter a name for your template.

  3. To share the template with all sites of the environment, in the Share template with field, click Environment.

    Alternatively, to share the template with all environments within the organization, in the Share template with field, click Organization, then click the environments you want the template to be available in.

  4. Click Save.

    The template library opens. The new template is available on the Shared tab.

  5. To add a template to your favorites, click Favorite.

  6. To remove a saved template from the template library, click Actions > Delete.

Edit a template

You can edit an existing template or save it as a new template.

To edit a template:

  1. In the upper left-hand corner of the form editor, click Load template.

  2. In the thumbnail of the template you want to edit, click Use template.

  3. In the form editor, customize your design by creating a layout, adding items, or adjusting the general settings.

  4. To update the existing template, click Save and exit.

  5. Optionally, to save the customized template as a new template, click Save as template and enter a name.

Share a template

Templates you create are available to all sites in your environment. If you own the template, you can also share them with other environments in your organization.

Note

You become the owner of a template when you save one of your designs as a template, or when you modify an existing template and save it to the template library.

To share a template:

  1. In the upper left-hand corner of the form editor, click Load template.

  2. In the Templates library, click the Saved tab.

  3. In the thumbnail of the template that you own and want to share, click Actions > Share.

  4. In the Share template dialog, in the Share template with field, click Environment to share the template within the current environment only, or click Organization to share it with other environments in your organization.

  5. If you clicked Organization, in the second field's drop down menu, click on the all environments you want the template to be available in.

  6. To remove an environment from the list, click Remove.

  7. Click Save to apply your changes.

If you select no environment in the drop down menu, the form will be available on all the environments of the organization.
