Create a schedule to send reports using email

With Sitecore Search, you can use an email scheduler to share reports by email, with a defined set of recipients, on a regular basis.

Important

You can only schedule reports for registered users of Search, who will need to log in to access them. To share a report with someone who isn't a registered user, download the report as PDF or CSV, and share it however you prefer.

Add an email schedule to a saved report

When you add an email schedule to a saved report, that report is attached to an email sent to the specified recipients at a fixed interval.

Note

Recipients must be configured users in Sitecore Search.

To add an email schedule to a saved report:

  1. On the menu bar, click Analytics.

  2. In the left pane, click Customized Reports > Saved Reports.

  3. In the list of saved reports, click the report you want to use.

  4. Click Email Report Email button.

  5. In the Recipients field, enter the recipients' email addresses. As you type an email address, a list of matching addresses appears, letting you autocomplete the field to save time.

  6. Repeat step 5 to add more recipients.

  7. (Optionally) In the Subject field, enter a relevant subject for the email. The report name is used by default.

  8. To configure the schedule, in the Frequency drop-down list, click Daily, Weekly, Monthly or Quarterly.

    If you've chosen Daily or Quarterly, go to step 10.

  9. In the Repeat On section, choose when you want the frequency to repeat.

    For Weekly frequency, click the day of the week.

    For Monthly frequency, click the date of the month.

  10. In the End Date drop-down list, click one of the following:

    • Never to send reports indefinitely.

    • Specific Date to specify an end date using a date picker.

  11. Click Save.

Edit an email schedule

To edit an email scheduler configuration:

  1. On the menu bar, click Analytics.

  2. Open the report whose schedule you want to edit.

  3. In the top-right corner of the report, click Email Report Email button.

  4. In the Email Schedule dialog, change the settings as needed and click Save.

Delete an email schedule

To delete an email schedule:

  1. On the menu bar, click Analytics.

  2. Open the report whose schedule you want to delete.

  3. In the top-right corner of the report, click Email Report Email button.

  4. In the Email Schedule dialog, in the top-right corner, click Delete Schedule.
