Manage users with Excel

Note

To configure Content Hub, you must either be a superuser or have the necessary permissions granted to you through user group policies.

Exporting user account data as an Excel spreadsheet provides an easy way to edit, add, or delete information about multiple users at the same time, while importing user data enables efficient creation or modification of multiple users, and facilitates transferring users between Sitecore Content Hub instances.

Before you begin

This walkthrough describes how to:

Configure the Creation component

  1. On the Creation component’s detail page, turn on the Import Excel switch.

  2. In the right-hand pane, turn on the Enable migration mode switch.

  3. Click Save and close.

Configure the Search component

  1. On the component’s detail page, on the Filters tab, add the User definition as a filter.

  2. On the Functionality tab, turn on the Selection switch.

  3. On the Selection tab, in the Shared pool menu, click Create new and create a new selection pool.

  4. On the Output tab, turn on the Table switch and turn off the Grid switch.

  5. In the Template section, select the TableNoImage option. You can identify this option by its tooltip.

  6. In the Fields section, add the required fields, such as Username.

  7. Click Save and close.

Configure the Selection component

  1. On the component’s detail page, on the General settings tab, turn on the Enable export to Excel switch.

  2. On the Operations tab, click Add definition and select the User definition.

  3. On the Export Excel settings tab, click Add definition and add the User definition.

  4. If you want to use an export profile, click plus sign Add export profile.

  5. Click Save and close.

Export users

To export users:

  1. On the menu bar, click Manage cog icon.

  2. On the Manage page, click Pages.

  3. On the Pages page, select the relevant page and click view page View page.

  4. On the new page, either select specific users to export or use the Select all option to export all users.

  5. Click Export to Excel export to excel.

  6. In the Export to excel dialog box, fill out the following fields:

    Field name

    Description

    Filename

    A name for the exported file. The .xslx extension is added automatically.

    Cultures

    A culture for the exported file.

    User-friendly column headers

    Lets you apply meaningful labels to column headers, instead of them being given technical member names.

    User-friendly cell values

    Lets you add extra columns with meaningful labels for every value.

    Warning

    If you turn on the User-friendly column headers switch, you will not be able to reimport the file.

  7. Click Export.

Edit users

Make any necessary changes to the users you exported. You can use exported Excel spreadsheets to update the modules users are assigned to. Available modules are:

  • M.Module.Media

  • M.Module.Project

  • M.Module.Content

  • M.Module.Print

  • M.Module.Product

Important

The name of the worksheet containing user data is User. If you rename this, you will not be able to reimport the file.

Tip

You can temporarily restrict a user’s access by changing the value in their IsRestricted field to TRUE.

Import users

To import users:

  1. On the menu bar, click Manage cog icon.

  2. On the Manage page, click Pages.

  3. On the Pages page, select the relevant page and click view page View page.

  4. On your page, click Import Excel.

  5. In the import dialog, do one of the following:

    • Drag and drop the files you want to upload.

    • Browse to and open the files you want to upload.

  6. Click Upload.

Tip

You can cancel, resume, or check the status of an export job in Background processes. When the export is complete, go to Downloads to download it.
