Assets FAQ

This topic provides answers to common questions about managing digital assets in Content Hub.

Does Share via email always create a ZIP file?

Yes. When you send an email, a download order is created, complete with a public link. As a result, even for a single asset, a ZIP package is created. See Share via email.

Email links are public links created for download orders. The same rules apply to email links and public links. For more information, see Public links caching.

Is there an inline preview for GIFs?

Currently, there is no inline preview for animated GIFs. This limitation does not apply to other media types.

Are there different roles for content collections?

There are four user roles that define access to content collections:

  • Reader

  • Contributor

  • Manager

  • Developer

By default, each content collection role has different permissions. The current roles are similar to the access roles, with the addition of the Developer role. The Developer role has the same authoring rights as a Reader but can also create API keys.

Can I extend the default roles?

Yes. Role templates are not system-owned, so it is possible to extend the permissions provided by default, including API key permissions.

How do I approve a content item?

You can approve a content item by using the state flow operations defined by default. Depending on your requirements, you can also add custom state flows and disable the default ones.

If Content Hub is unavailable, are cached assets also unavailable?

It depends on how the assets are being made available and when the cache was last updated. If the assets are being served through:

  • APIs - when Content Hub is unavailable, the REST APIs are also unavailable. You can, however, use Experience Edge to deliver the assets if it has not been affected by the outage.

  • Public links - requested public links are cached in the browser and CDN for 10 minutes (600 seconds). During this period, the CDN serves the cached asset without contacting Content Hub. After 10 minutes, the CDN must revalidate with the origin; if the origin is unavailable, the revalidation might fail and prevent the delivery of the asset behind the public link or cause the CDN to continue serving the old asset.

  • Experience Edge - data is still served when Content Hub is unavailable as long as Experience Edge has not been impacted.

What is the difference between upload methods?

When choosing which method to use, consider the following:

  • The Import/export feature lets you export or import packages containing structural settings and changes to an environment.

  • The Upload files feature lets you upload assets to Content Hub, so that you can start working with them.

  • The Excel import feature lets you import data from Excel worksheets.

When an asset has rights applied that restrict its usage, it isn't possible to access it through a public link. Attempting to do so will always return a 404 error.

Why can I not see locked items?

To find your locked assets, on the menu bar, click Manage and then, on the Manage page, click Locked assets. To learn how to unlock an asset, see Unlock.
