Create a task

New tasks appear in the relevant user's task list. Optionally, you can notify the user about the new task by email.

Note

Email notifications must be configured in the Sitecore Content Hub settings.

To create a task:

  1. On the menu bar, click Project > Projects.

  2. On the Projects page, click the required basic project to open it.

  3. On the Tasks tab, click Task.

  4. Select the type of task.

  5. In the New task dialog, define the following fields:

    Field

    Description

    Name

    Name of the task. This field is mandatory.

    Message

    Description of the task. This field is optional. Use @mention to tag a user or user group. The task is automatically assigned to the mentioned user or user group.

    Assigned users

    Users who will work on this task. Click Add assign users icon to select the users to be assigned the task.

    Assigned user groups

    User groups who will work on this task. Click Add assign users icon to select the user groups to be assigned the task.

    Task distribution

    How tasks are distributed. You can choose from the following options:

    • Shared - if you assign users a Shared task, the first user to accept the task becomes the assignee. For example, a creative production task is assigned to a pool of resources; the first one to pick up the job removes it from the tasks of the other assignees.

    • Individual - when you assign users an Individual task, every user receives the same task that they have to perform. The task is only completed when every user has completed their assigned tasks; for example, a parallel review, where each user has to sign off on a deliverable.

    Send time

    When the task is assigned and if there are any factors that affect this. You can choose from the following options:

    Due date

    When the task is scheduled to be completed. The due date and duration calculated depends on which of the following options you select:

    • Number of business days - the number of business days that the task will take to complete. This value must be a whole number. With this option, the actual due date is calculated starting from the moment the task is accepted by an assignee.

    • Date - the date that the task is scheduled to be completed. This option creates a timestamp of when the task is due, and uses this to calculate the actual due date.

    Note

    With the Date option, task duration is calculated based on a Monday to Friday work week and an 8:00 to 17:00 workday. If the selected due date is outside these hours (for example, on a weekend or scheduled for 6:00), the actual due date is the last business day before.

    Estimated working time

    The estimated work effort to complete the task using:

    • w = weeks.

    • d = days.

    • h = hours.

    • m = minutes

    For example, 2w 1d 5h 45m. You must define at least one unit of measure (for example, 16h).

    Priority

    The priority of the task. You can choose from the following options:

    • Trivial - these tasks have the least impact on the product.

    • Minor - these tasks have a relatively minor impact on the project but need to be fixed.

    • Major - these tasks are important and should be fixed but does not stop the rest of the project.

    • Critical - these tasks are critical to the project and need to be attended to as soon as possible.

    • Blocker - these tasks are the most critical and stop the progress of a project or stage.

    Autofinish

    If this is the final task in a task chain, set this switch to active if you want the project or stage to finish automatically when the task is set to Done.

    AUTOMATICALLY ADD CONTENT

    Include selected content

    Turn on the switch to link the selected content of this project to the task when it is created.

    Include all content

    Turn on the switch to include all content from the basic project or stage in the task.

    MANUALLY ADD CONTENT

    Assets

    Click Add assign users icon to add assets to the task.

    Fragments

    Click Add assign users icon to add fragments to the task.

  6. Click Create.
