Customize task types

To tailor project management tasks to the specific needs of users, you can customize task types using a template. The task template determines the task icon and color. You can also reorder task templates, which changes the order that tasks are displayed on the Task menu. For a streamlined menu that is easy to read, you can disable a task template to hide the task in the menu.

Note

To configure Content Hub, you must either be a superuser or have the necessary permissions granted to you through user group policies.

In the following example, the Annotate task is hidden and the order of the tasks in the highlighted menu matches the order of the task type templates.

The following task types are available.

Task type

Description

Annotate

Lets collaborators annotate annotate icon assets or fragments. With this task type, you attach assets or fragments to the task. If a user cannot select text while annotating a document, the intended text may have been converted to curves, which can happen with PDF files provided for print.

Create content

Lets contributors create content (such as assets and fragments) using the Add menu when the projects functionality for content is enabled.

Download

Lets assigned users download download icon assets.

DRM request

Lets assigned users request permission to download assets under Digital Rights Management (DRM).

Edit content

Lets contributors request an edit on assets, fragments, and content or their associated properties.

Global review

Lets project managers initiate a review of content with a lifecycle status of global. When one of the assigned reviewers completes a global review task, it is closed.

Localizationvariant

Lets assigned users change the localization-specific information for a selection of assets or content items.

Local review

Lets contributors initiate a review of content with a status of project-specific or job-specific. When an assigned reviewer completes this task, it is closed.

Parallel review

Lets contributors initiate a review of content while other reviewers perform a similar task on the same content in parallel. When all assigned reviewers finish their respective tasks, the review is closed. A parallel task does not impact the content lifecycle.

Lets program managers ask users to do things that do not have a specific task type.

Upload version

Lets creators upload upload icon an updated version of existing assets.

To customize task types:

  1. Click Manage cog icon.

  2. On the Manage page, click Task type templates.

  3. On the Task type templates page, next to the task type template you want to customize, click More actions > Edit details.

  4. In the Edit details dialog, to modify the name displayed in the Task menu, click in the Display name field, and enter a new name for the template.

  5. To change the order in which tasks are listed when you create a task, in the Sort index field, enter a number between 1 and 100 that expresses where in the list the task will appear. On the Task type templates page, click Sort index to view the updated list order.

  6. In the Visualization section, click the Icon button and, in the Select icon dialog, click the icon you want to use, and then click Save.

  7. In the Color drop-down list, click the color you want to use to denote this type of task.

  8. Click Save.

  9. To show or hide a task in the Task menu, click More actions > Enable or Disable. When you enable a task template, the task is displayed in the menu. When you disable it, it is hidden.
